With large increases in federal funding for schools and the rise of telehealth, schools are reimagining what mental health support can look like.Cartwheel is an early-stage startup building technology-enabled mental health services that put schools at the center. We see our role as supporting on-campus counselors, psychologists, and school social workers who see kids every day. Instead of going around them, we collaborate with them. This means:

ABOUT THE ROLE
Since our founding last spring, we’ve grown to serve more than a dozen school districts in our home state of Massachusetts, providing care to hundreds of students and families. This upcoming school year, we’ll be working with several dozen districts across 3-5 states, providing care to thousands of students and families.
As Payment Coordinator, you will be responsible for the smooth and efficient processing of payments from our clients and health plan partners. You will work closely with our clinical and operations teams to manage billing and invoicing procedures and maintain accurate financial records. Your attention to detail, excellent organizational skills, and commitment to customer access will contribute to the financial stability and success of Cartwheel as we become the leading partner for schools nationwide in tackling the student mental health crisis.
WHO YOU ARE
- 2+ years of experience as a payment coordinator, accounts receivable specialist, or a similar role.
- Excellent attention to detail and accuracy in numerical data.
- Strong organizational and time management skills to handle multiple tasks and deadlines effectively.
- Strong understanding of billing and invoicing processes.
- Familiarity with financial software and proficiency in using accounting systems.
- Excellent communication and interpersonal skills.
- Knowledge of relevant health care or financial regulations and compliance requirements.
- Prior experience in the healthcare or mental health industry is a plus.
- Highly independent, proactive, resilient, and empathetic.

WHAT YOU’LL DO
Billing and Invoicing:
- Generate accurate and timely invoices for clients and partners.
- Ensure invoices and claims are properly documented, approved, and sent on schedule.
Financial Recordkeeping:
- Maintain organized financial records, including invoices and bills.
- Collaborate on reconciling accounts and resolving discrepancies.
Reporting and Analysis:
- Assist in generating regular reports on payment status and financial performance.
- Analyze data to identify trends and areas for improvement.
Compliance and Documentation:
- Ensure adherence to financial regulations and policies.
- Maintain accurate documentation of payment processes.
Customer Success:
- Provide empathetic and compassionate customer service to families who may be struggling to meet payment obligations.
- Resolve payment disputes or concerns professionally and courteously.

LOCATION: US Remote with quarterly in-person team retreats and co-locating as needed in Boston or NYC, especially as we get to know each other.
START DATE: July 2023
COMPENSATION: You’ll join a team of mission-driven colleagues who will respect, empower, and go to bat for you. This is a full-time, salaried position reporting to the Care Manager. Based on candidate experience, the expected cash compensation is $50,000-$60,000, plus equity, generous health insurance, 3 weeks of PTO, and additional paid sick time.
