Under the supervision of the Clinic Manager, the Surgery Scheduler will work with physicians, nurses and other medical staff to coordinate surgeries in the Santa Monica UCLA OB/GYN Practice. Th! is position is primarily responsible for coordinating activities of surgeries' scheduling, recording and canceling surgeries. Other duties include appointment scheduling, pre-registration, patient reception and other related duties.
Job Qualifications High school diploma or general education degree (GED); one to three months related experience and/or training; or equivalent combination of education and experience. Ability to read, and interpret documents such as safety rules, operating and maintenance instructions and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively to patients, physicians, staff and employees of other organizations. Ability to subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent and to draw and interpret bar graphs. Ability to apply common sense understanding to carry out detailed but uninvolved written or! oral instructions. Ability to deal with problems involving se! veral concrete variables in standardized situations. Must have knowledge of scheduling software. Excel and Word would also be a plus. Must also be cross-trained to assist at the front reception when appropriate. Must be able to walk, bend, sit, use hands to finger, handle or feel and talk or hear. The employee is frequently required to stand; reach with hands and arms and stoop, kneel, crouch or crawl. Must be able to regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds. Skill in speaking on a one-to-one basis with persons of various cultural, economic and educational backgrounds to obtain information and explain admission/registration policies and procedures. Interpersonal skills to interact diplomatically with patients, family members and staff in a high-volume public contact setting. Detailed knowledge of Hospital admission/registration procedures as well as general administrative procedures. General knowledge of medical diagnosis in or! der to correctly interpret referrals. Ability to work with frequent interruptions. Ability to work independently and exercise good judgment in making independent decisions. Ability to back up co-workers during staffing crisis situations such as sick leave, vacations, and emergencies. Ability to maintain composure in situations involving emergencies, hostility or heavy workload. General knowledge of OB/GYN procedures and terminology. Skill in telephone business etiquette and a working knowledge of multi-line telephones. General knowledge of medical insurance providers including HMO's, PPO's, Medicare and Medi-Cal to determine copayments. Skill in coordinating numerous schedules in order for patients to have surgery within a given time frame. Demonstrated ability to adhere to departmental attendance standards. Ability to maintain confidentiality of patient medical records and information.
